Payroll and HR that add up, every month.

HRMSPay runs payroll, statutory returns, payslips, leave, hiring and reports for organisations of every size, on pay rules you configure and connected to the ERP you already use. Two people check before anyone is paid.

  • From 20 staff to 20,000
  • Kenya ready, any country by configuration
  • SAP, Oracle, Dynamics, IFS or your own ERP

Payroll that checks itself before anyone is paid.

Simulate the month, compare it with the last one you paid, then process and approve with two different people. Every figure on every payslip shows how it was worked out.

#01 — Show how it was worked out

“Why is my tax higher this month?”

Every payslip line in HRMSPay opens to show what went in, which rule fired and what came out. Answer the question in ten seconds, not a week of spreadsheets.

#02 — The whole employee journey

Hire, onboard, pay, grow and say goodbye, in one system.

HRMSPay is a full HR system, not just a payroll. Recruitment, onboarding, performance, improvement plans, training and offboarding all share one employee record, and everything that affects pay reaches the payroll on its own.

  1. 01 — Hire

    • Requisitions approved before advertising
    • Your own careers page and application forms
    • Screening, talent pool and interview panels
    • Offers accepted online
    Explore
  2. 02 — Onboard

    • Onboarding forms, documents and tasks
    • One click from new hire to employee
    • Contract, bank and tax details carried over
    • A sign-in to My Workspace
    Explore
  3. 03 — Pay

    • Payroll checked by two people
    • Leave, time and overtime into pay
    • Loans, claims and court orders settled
    • Payslips, returns and bank files

    • Goals, KPIs and 360 reviews
    • Calibration, probation and improvement plans
    • Raises and bonuses into payroll
    • Mandatory training that books itself

#03 — Built to extend

One engine for every country, contract and pay rule you have.

HRMSPay isn’t a Kenyan payroll with features bolted on. Its pay engine reads your rules as data, so a new allowance, a new law or a whole new country is configuration, not a software project.

Rules, not code

Fixed amounts, percentages, bracket tables, lookups, conditions and formulas. HR changes them, dated from when they apply.

Any country

Kenya comes ready. Add a jurisdiction with its own currency, rates, bands and returns, next to the ones you run.

Any ERP, any bank

SAP, Oracle, Microsoft Dynamics, IFS or your own system over its API, fields mapped; bank files in your bank’s layout.

Open to developers

A documented API, and new calculation types or country modules plug in without touching what already works.

#04 — Everything in one system

From the offer letter to the last payslip.

Payroll is the heart of it. Everything around it, from leave and loans to hiring and reviews, feeds the payroll without anyone retyping a number.

02

Pay rules & formulas

Every earning, deduction and tax in HRMSPay is a rule you configure: a fixed amount, a percentage, a bracket table, a lookup, a condition or a formula. New allowance, new country, new law: change the rules, not the software.

Explore
03

Statutory compliance

Kenya comes ready: PAYE, NSSF, SHIF and the Housing Levy, dated from the day each applies. Every other country is set up the same way, as its own dated rates, bands and returns, so past months never change when the law does.

04

Employee records

Contracts, placements, bank and tax details, documents and every change made to them, in one place. Sensitive details stay masked unless someone is allowed to see them.

Explore
05

Self-service

Employees sign in to see their approved payslips, apply for leave, check their timesheet, follow their loans and claim expenses. HR stops being the help desk.

Explore
06

Leave & attendance

Accruals run by themselves, approvals follow your workflow, and unpaid leave or overtime reaches the payroll without anyone retyping it.

Explore
07

Recruitment & onboarding

Approve the role, publish it on your own careers page, screen and interview, send the offer, onboard the new hire, and turn them into an employee with everything they filled in already in place.

Explore
08

Performance & improvement

Set goals and KPIs, run review cycles with 360 feedback and calibration, confirm probation on time, support people with improvement plans, and turn the results into raises and bonuses in payroll.

Explore
09

Training & development

Run your course catalogue and sessions, keep mandatory training current, and track budgets, attendance, certificates and training bonds in one place.

Explore
10

Loans & expenses

Staff loans with real interest and schedules, court orders capped by the law, expense claims and per diem: all recovered or paid in the next payroll, with a record of every shilling.

Explore
11

Reports & audit

Standard payroll and HR reports, a report builder for your own questions, schedules that email them, and an audit log that records who changed what.

Explore
12

Bank & ERP

Send an approved payroll to your bank as the file it expects, and keep the ERP you already run in step: SAP, Oracle, Microsoft Dynamics, IFS or any other system with an API.

#05 — Who uses it

Everyone sees what their job needs, and nothing more.

Roles decide who can change, approve or just look. The rules that keep money safe hold even for the admin: nobody approves their own request, and the person who processes a payroll can’t approve it.

  • Tenant AdminSets up the organisation, roles, workflows and integrations.
  • HR ManagerRuns the employee record, leave, hiring, reviews and training.
  • Payroll OfficerSimulates and processes payroll, loans and statutory returns.
  • Finance ManagerApproves payroll, posts it to the bank and runs expenses and budgets.
  • Department ManagerApproves their team’s leave and time, and never sees anyone’s pay.
  • EmployeeTheir own payslips, leave, timesheet, loans, claims and reviews.

#06 — The totals

Built for the way organisations really pay people.

#07 — Questions

What organisations ask before they switch.

All questions
Is HRMSPay only for Kenya?

No. The pay engine runs on rules you configure, so it pays people in any country and currency. Kenya comes ready out of the box; another country is set up as its own rates, bands and returns, alongside the ones you have.

Is it for small companies or large ones?

Both. The same system pays a team of twenty or a group of companies with thousands of staff, several pay cycles, departments, approval chains and organisations under one sign-in.

Is HRMSPay set up for Kenyan payroll?

Yes. PAYE bands and personal relief, NSSF, SHIF and the Housing Levy come set up, each dated from when it applies. P10 returns, P9 tax cards and the contribution schedules are ready as soon as payroll is approved.

Does it file returns or pay the bank for us?

It prepares them. You download the P10 or the bank file and upload it to iTax or your bank’s bulk payment service, then record what the bank paid. Nothing leaves without a person checking it.

Can we pay weekly casuals and day-rate workers too?

Yes. Each payroll area has its own cycle (monthly, weekly, fortnightly or daily-rated) with its own pay day, working hours and rest days.

Close every month knowing the payroll is right.
