Security & data protection
Your people’s data, kept like money.
Salaries, bank accounts, tax PINs and personal details are the most sensitive data a company holds. HRMSPay hides them by default, records who looks at them, and keeps every organisation’s data apart.
Hidden unless allowed
- Salaries, bank accounts and tax PINs are masked for anyone whose role doesn’t allow them.
- Department managers never see anyone’s pay.
- Sensitive fields are encrypted in the database.
Every change on record
- The audit log records who changed what, before and after, and when.
- Entries can never be edited or deleted.
- Sign-ins, failed sign-ins, lockouts and exports are recorded too.
Who looked, and how often
- Every full view or download of someone’s pay, bank or tax details is logged.
- An alert goes out when one person views more people’s details in a day than you allow.
- Each employee’s History tab shows every change to their record.
Two people for money
- The person who processes a payroll can’t approve it.
- The person who approves it can’t send it to the bank.
- Nobody approves their own leave, claim, loan or request.
Organisations kept apart
- Each organisation’s data is separate; nobody sees another’s.
- One person can belong to several organisations, with a different role and access in each.
- Switching someone off in one organisation leaves the others untouched.
Sign-in you can control
- Password rules and expiry set by your organisation.
- Accounts lock after repeated wrong passwords.
- Leavers keep access to their payslips for a set time only.
Kenya’s Data Protection Act, 2019
Your organisation is the data controller for its employees’ data; HRMSPay processes it on your behalf. Employees can see and download their own details in My Workspace, and you can export or correct what you hold when someone asks.
Close every month knowing the payroll is right.
See HRMSPay run a month for an organisation like yours, with your pay cycles, your countries and your ERP.
- Statutory rules for your country
- Your data moved in with you
- A parallel run before you go live
